ERP for warehouse and inventory: from paper pick tickets to real-time execution.

The warehouse is where an ERP earns its keep or quietly fails. This is what an ERP for warehouse management, or any inventory ERP, has to do, what the free Dolibarr core covers, and the modules Built-N-AI built to run receiving, picking, QC, shipping and cycle counts paperless inside the ERP, proven in a live operation with more than 400,000 SKUs.

Measured on the floor

What changed when the warehouse ran inside the ERP.

~20 to 0Cancelled orders shipped per monthAbout $2,000 a month in lost product avoided
4 hrs to 1To receive a 500-line POLabor cost per PO down 75%
ZeroManual list comparisons in cycle countsBins reconcile the moment scanning finishes
100%Paperless pickingNo printed pick tickets, start to finish

These numbers come from TXS Corp, where Built-N-AI implemented and ran Dolibarr as the operating system of a hardware distribution and consumer-electronics resale business with more than 400,000 SKUs and up to 300 orders a day. Each result has a published case study linked below.

The warehouse flow

Dock to door, every step inside the ERP.

A multi warehouse ERP with barcode inventory is the baseline for any ERP system for inventory management. Column 2 is the free Dolibarr core. Column 3 is what Built-N-AI adds. Nothing in column 3 touches the ERP core.

1. Identify inbound productProduct catalog, supplier references.AI Advanced Intake: photograph a unit once; AI returns part number, specs, UPC and price with a confidence score and creates the product record and PO line. Receiving labor cost fell 81%. Built for large volumes of unknown or unmanifested retail product; a standard PO that already exists goes straight to step 2.
2. Receive against the POIncluded: receipts tied to the PO and to stock.Single-Touch Bulk Receiving: scan the first barcode and auto-sequence the rest with labels printing as you go, or upload a spreadsheet and receive the whole PO. 500 lines in 1 hour instead of 4. Proven up to 2,000 lines on a single PO, received in a single reception.
3. Put away to binsIncluded: multiple warehouses, stock movements, valuation, min/max reorder.Product, lot and variant data mapped to DYMO labels; photo capture in the browser attached to the process.
4. Track lots and serialsIncluded: lot, batch and serial numbers.Serialized units carried through QC, picking and returns.
5. Why inside the ERP, not beside it

A separate WMS is a second system to pay for, sync and blame.

Most small and middle-market warehouses do not need a standalone warehouse management system. They need the ERP they already run to execute on the floor. Good ERP inventory management software does that without a second system, whether you call it ERP inventory software, ERP stock management or the inventory management module in ERP. When picking, QC, shipping and cycle counts are modules inside Dolibarr, every scan writes to the same inventory record the office, the website and the marketplaces read. There is no nightly sync, no second license, and no argument about which system is right.

The design rule we follow: automate the outcome, not the paper. Printing a PDF pick ticket faster would have preserved every weakness of the paper process. Redesigning fulfillment around a connected warehouse, inventory and ERP removed them.

One inventory record

Receiving, picking, counts and marketplaces all write to the same Dolibarr stock, bin by bin.

Exceptions handled, not hidden

Missing units go to a suspense or non-sellable status until found, so they stop being promised to customers.

Audit trail on everything

Who, what and when on every receipt, pick, QC result, shipment and adjustment.

Upgrade path intact

26 modules, 1 logged core change. The ERP can be upgraded; the modules come along.

Who this fits

Warehouses that have outgrown paper and spreadsheets.

Distributors and wholesalers

Thousands of SKUs across multiple bins, where picking accuracy and receiving speed drive margin. ERP for distributors →

E-commerce and marketplace sellers

Amazon, eBay and your own store, where a cancelled order must stop on the floor, not at the dock.

IT asset recovery and refurbishers

Serialized, unmanifested inbound product that needs identification, grading and QC before it is sellable.

Repair, depot and service parts

Parts inventory, RMAs and technician work orders that have to tie back to one set of books.

Questions warehouse managers ask

Warehouse ERP, answered plainly.

What ERP is best for a small warehouse?

The best ERP for warehouse management in a small operation handles multi-warehouse, bin-level stock, barcode receiving against purchase orders, lot and serial tracking, picking and shipping that write tracking back to the order, and cycle counting that corrects the record on the spot. Built-N-AI runs all of that on Dolibarr, a free open-source ERP, with custom modules for paperless warehouse execution, single-touch bulk receiving, real-time inventory reconciliation and one-touch EasyPost shipping. It runs a live operation with more than 400,000 SKUs and no per-user license fees.

Can an ERP run paperless picking and QC?

Yes. The Digital Warehouse Execution module replaced PDF pick tickets with paperless pick queues, bin-to-bin wave picking, FIFO selection, tote-based order control, Pass/Fail QC and live order status from created to shipped. Cancelled orders that shipped anyway went from about 20 a month to zero.

What is a WMS, and do I need a separate one if I have an ERP?

A WMS is a warehouse management system: warehouse management software that directs receiving, put-away, picking and shipping. A small or middle-market warehouse usually does not need a separate one. A separate WMS adds a second system, a second license and an integration to maintain. Built-N-AI builds warehouse execution as modules inside the Dolibarr ERP, so picking, QC, shipping and cycle counts write directly to the same inventory records the office uses.

What does WMS mean?

WMS meaning: warehouse management system. A WMS system directs receiving, put-away, picking, packing, shipping and counting on the warehouse floor. You will see it written both ways, WMS warehouse management system or warehouse management system WMS. Most warehouse management systems are stand-alone WMS software that sits beside the ERP and has to be kept in sync with it; a warehouse ERP does the same job inside the ERP. If you are asking what is WMS because someone told you to buy one, check first whether your ERP can run the floor. Dolibarr with Built-N-AI’s modules does. Many WMS systems duplicate stock records the ERP already holds.

Is an inventory management system the same as an ERP?

No. An inventory management system tracks stock: quantities, locations, movements and reorder points. Most inventory systems stop there. An ERP adds purchasing, sales, shipping and accounting on the same records. That is the point of ERP software inventory management, or enterprise resource planning inventory management in full: stock, cost and the books move together. A stock ERP such as Dolibarr includes the inventory system in its free core, so stand-alone inventory management systems are one less thing to integrate.

How does barcode cycle counting work in an ERP?

An employee scans every unit in a bin. The system compares each scan to the ERP, marks unscanned units missing and moves them to non-sellable holding, corrects mislocated units, and reconciles the bin the moment scanning finishes, with a full audit trail. Manual list comparisons dropped to zero.

How fast can an ERP receive a large purchase order?

With Single-Touch Bulk Receiving, a 500-line PO went from 4 hours to 1 hour and labor cost per PO fell 75%, by auto-sequencing barcodes with labels printing as you go or by uploading a spreadsheet and receiving the whole PO with no scanning. A single 2,000-line purchase order has also been received in a single reception.

How can AI automate ERP receiving?

AI receiving pays off when you receive large volumes of unknown or unmanifested retail product. A receiver photographs a unit once; AI identifies it, returns the part number, specs, UPC and price with a confidence score, and creates the product record and purchase order line. At TXS Corp that cut receiving labor cost 81%, from $23,500 to $4,500 per truckload. It is not the right tool for a standard purchase order that already exists; there, single-touch bulk receiving is faster, taking a 500-line PO from 4 hours to 1.

How good is Dolibarr for warehouse management?

Dolibarr warehouse management out of the box covers multiple warehouses, stock movements, valuation and min/max reorder levels, and Dolibarr barcode inventory covers barcode support with lot, batch and serial tracking. Paperless picking, wave and FIFO picking, tote control, Pass/Fail QC and cycle counts that reconcile on the spot are not in the core; Built-N-AI adds them as modules.

What does a warehouse ERP cost?

Built-N-AI’s Dolibarr ERP implementation is a fixed $29,500 for up to 25 users, one entity and one warehouse, typically live in about 1 month, with no per-user license fees. Warehouse execution, bulk receiving and cycle-count modules are scoped separately as fixed-price deliverables. Full cost guide →
